POSITION:

ADMINISTRATIVE ASSISTANT FOR THE EXECUTIVE OFFICE

RESPONSIBILITIES:

Provides support to the Executive Office and the Executive Assistant to the President and CEO through administrative, organizational, and problem-solving skills to carry out the functions of the department.  Works under the general supervision of the Chief of Staff and the daily supervison of the Executive Assistant to the CEO. Works closely with all levels of the organization including Directors, Managers and other staff members and volunteers. Treats information in a confidential manner.

Essential functions of the job include, but are not limited to the following:

  • Answers phones and screens incoming calls.
  • Coordinates daily schedules Executive Office including postponement, changing, and confirming of meetings
  • Coordinates meetings for the Executive Officevby reserving the appropriate location, arranging for the necessary audio/visual or teleconferencing equipment, arranging food and beverage needs, and coordinating agenda and presentation materials as needed.
  • Maintains files that are efficient and easily retrievable with cross-functional capability and files appropriate documents therein.
  • Prepares and assists in the typing and preparation of correspondence, reports, and other documents.
  • Maintains appropriate reports, phone lists, contact information and other routine data that requires updating.
  • Orders necessary office supplies.
  • Other tasks as needed.

QUALIFICATIONS:

High school diploma or equivalent.  Post-secondary education preferred. Minimum of two years experience in an office environment as an Executive Assistant or other capacity, with relevant skills. Must maintain strict confidentiality. Must have strong organizational and communication skills and attention to detail. Must demonstrate high level of initiative and work well in a team environment. Must exercise good judgment in maintaining an appropriate professional business atmosphere for Marketing and Communications Department.. Must be proficient in Microsoft Office, ACT, and database software. Must have excellent typing, filing, and phone skills.  Must possess a positive enthusiastic attitude.  Must be able to manage multiple tasks in a fast paced environment. Must be able to work effectively with others, including those outside of the formal line of authority (peers, volunteers, line staff). Must be adaptable, have a high tolerance for stress, a demonstrable record of exercising good judgment, ability to stay composed in the face of adversity, and demonstrate a high level of integrity in daily activities.

ADDITIONAL INFORMATION:

Position is hourly, full-time 40 hours per week, with benefits. M - F. Occasional evening and/or weekend hours as needed.
